Main Window Menus

Introduction

This Tutorial deals with the menu items on the Menu Bar in the SpringCharts Main Window.  To a substantial degree it will be an overview, as the functional detail of many items will be covered later in a specific Tutorial.  There will often be linked references to these Tutorials, but it is recommended that the student stay with the sequence of instruction where possible.

 

We will take the menu items in sequence from left to right.  Please note the Menu Bars on the SpringCharts Single Computer Version and the SpringCharts Networked Version differ in some ways.  The main difference is the Networked Version clients do not have the Administration menu, as that capability is on the SpringCharts Server.  In addition, the menus may differ for each user depending on the access rights assigned to that user.

File menu



The File menu has four choices.

  1. SpringCharts Info shows a dialog which provides information about your operating system and program versions.

  2. Log Off  logs off the current user, but the program continues to run so that another user can log on.

  3. User Preferences provides three menu choices:


 

  1. Edit User Preferences opens the following dialog box:


 

From the Set User Preferences window, each user you can set preferences that apply only to them.  Practice-wide preferences are set by selecting Administration > Category Preferences as shown below.  For the current user:

  enter a new password,
  change the default practice (if more than one practice name is entered on the server),
  change the default doctor (this information is used when staff members print a prescription, write a letter, etc.),
  change the schedule (which opens on the main window if multiple schedules are used),
  select the preferred office visit form: New OV Classic, or New OV Large, which will be covered later in  New OV Large - Tabs, and
  select the preferred patient selection method:  Rapid Select or Standard Select, which will be covered later in Patient Selection.
  select the preferred point of text insertion in PopUp Text, which will be covered later in PopUp Text / Mini-Templates.
  select Metric (centimeters, grams) or Imperial (inches, pounds) measurements.
  select the preferred clock format.
  select large or small font.
  1. Clicking Edit PopUp Text (or Mini-Templates) is addressed later in the Mini-Templates Tutorial.

  1. Choosing Edit My List Names allows the user to tailor the categories of PopUp Text / Mini-Templates for their particular User ID, and is also addressed later in the Mini-Templates Tutorial.


Edit menu

 The functions listed under the Edit menu allow the user to change information already entered in SpringCharts.

Address Book provides access to the practice "contacts" information and is an integral part of the communications elements of SpringCharts.  Instruction on the Address Book is in the Messages Tutorial.

Bulletin Board replaces the lunch room bulletin board.  Detailed instruction is in the Bulletin Board Tutorial.

Completed Tests provides access to lab results awaiting doctor review.  Detailed instruction is in the Tutorials at Using Tests, Managing Tests, and SpringLabsTM Electronic Results.

Diagnosis allows the user to search and manage the Diagnosis database.  Detailed instruction is integrated into several of the Tutorials.

Drugs allows the user to search and manage the Drug database.  Detailed instruction is integrated into several of the Tutorials.

Email is the office's inbox.  For security purposes, all emails sent to the office comes here and is then distributed to individual users.

File Cabinet provides access to the File Cabinet Document Manager.  The File Cabinet Document Manager stores any type of document ranging from static documents like images (.jpg, .pdf, DICOM, etc) to modifiable documents (.doc, .xls, .html, etc) within SpringCharts.  There is instruction on the File Cabinet Document Manager in the Tutorial at File Cabinet.

Insurance allows the user to add or edit insurance company information used throughout SpringCharts.

Message Archive stores Messages not linked to a patient. Messages linked to a patient are stored in the Patient Chart.

Patients searches for patients and assists with the preparation of a letter to these patient(s).

Pending Tests is a log of all lab tests which have been ordered within SpringCharts, but for which a complete set of lab test results have yet to be received.  There is detailed instruction in the Tutorials at Using Tests, Managing Tests, and SpringLabsTM Electronic Results.

Procedures allows the user to find or add a procedure to the procedure database.  There is detailed instruction in the Tutorial at Procedures.

Reference Lab lists the Imported Reference Lab Tests.  There is detailed instruction in the Tutorials at Using Tests, Managing Tests, and SpringLabsTM Electronic Results.

Pt Instructions allows the access, addition and printing of Patient Instructions (handouts).  There is detailed instruction in the Tutorial at Patient Instructions.

Report Headers allows the preparation of text that precedes various reports to patients.

Routing Slips contains a log of Routing Slips (sometimes called Super Bills) that contain the information necessary to begin the billing process.  There is complete instruction on this in the Coding and Billing section of these Tutorials.

Templates provides the ability to edit Office Visit, Orders and Letters Templates. There is detailed instruction on the Template Editors at Templates.

Tests accesses the Test Editor which lets the user list and edit various types of tests.  There is detailed instruction at Using Tests and Managing Tests.

Test Explanations allows the user to provide a generalized explanation for a test that is in a report sent to a patient.  There is more in the Tutorials at Using Tests and Managing Tests.

ToDo Future lists ToDo's scheduled for the future (Reminders).  There is detailed instruction at ToDo/Reminders.

Tracker Archive provides access to a log by date of patients put into the Patient Tracker.

bullet

Word Processor Documents provides access to stored Word Processor Documents and allows the user to launch the SpringCharts simple word processor.
 

Utilities menu

Conversion Calculator converts Weight, Length and Temperature between English and imperial measurements.

bullet

Fix Duplicate Charts is a tool used to correct problems with duplicate charts and deleted charts. The function of this tool is beyond the scope of this tutorial.  However, detailed instructions are available off of the Main Window at Help> SpringCharts Help, then select Search and search on "duplicate charts".

Import Link Data allows viewing imported Data from NDC Medical Connect.

My Websites is an integrated "favorites" function that provides rapid access to frequently accessed websites.

Search Database allows the user to search the entire patient database for patients by Diagnosis, Drug, Procedure, Test, Insurance Company, or Employer as well as offering form letter functions to send mailings or emails to selected patients.


Windows menu

The Windows Menu lists any windows that have been opened from the Main Window.


Recent Charts menu

The Recent Charts menu keeps track of patient charts the user has recently opened. Choosing one of the charts listed simply reopens that chart.

Open Charts Menu

The Open Charts menu keeps track of currently opened patient charts.

Actions menu

The Actions menu provides four selections:

Open a Chart allows a user to quickly open a patient's chart.  See the Patient Selection Tutorial for specific instruction.

Track Patient shows the same Edit Tracker dialog box that was covered in Main Window Overview.

Urgent Message allows the user to send an instant message to another user. The Urgent Message function is not available with the Single Computer Version.  More is instruction is available at the Urgent Messages Tutorial.

Change View allows the user to rearrange the Main Window, selecting the Office Calendar, the Patient Tracker, or their Messages inbox as the center window.


New menu

The New menu allows the user to create a new item.  The items on this menu are central to the major functions in SpringCharts and receive significant coverage in later Tutorials, so they will not be treated here.  In general, the New menu is the starting point for most new practice-wide functions.

 


 

Administration menu

Like the New menu, the Administration menu has a number of key functions that are covered in detail in later Tutorials.  Additionally, many of the items are covered in the SpringCharts V8 Installation Guide.  Accordingly, we will cover only a few of the menu items here.

The Administration menu items perform the following functions:

Activation Key – view information about your activation key

Appointment – edit the appointment setup

Audit Manager – view activity by date, range of dates, patient, or user

Category Preferences – set preferences for the following items below

Note: The Networked Version of SpringCharts includes a function similar to the Administration menu.   It is the Administer window on the SpringChartsServer .  See the Installation Instructions that come with the product for more information.
